2nd Frampton Cotterell Scout Group is committed to keeping young people safe.  As part of our Photo Policy we do not use the full name of young people alongside photographs.  If you see an image that you believe should not be displayed please inform webmaster@2fcsg.co.uk

What data does 2nd Frampton Cotterell Scout Group hold?
We only ever keep data relevant to what we do as a group and this data is only collected directly from via the sign-up or forms, or updates directly .
This data includes all the basic information required to add membership infomation as a member on Online Scout Manager (OSM)[the system we use for recording membership infomation] and to contact you:

Name, Address, Telephone Number, Email Address, date of birth

Along with this information we also asked for the following data:

InTouch Contact Details, Badges records Events, Payments, Religion, Ethnicity

InTouch Contact Details

We retain sufficient records to enable us to contact parents/carers of our members during activities, and also to pass on to medical authorities should it be necessary.

 

Badges
This information is used to track progress towards badges, along with which badges have been awarded.

Events

This information is used to determine who is attending the events we organise, compile InTouch information for these events, and send communications and information about the event.

Payments

This information is used to track payments for subscriptions and events.

Religion and Ethnicity

This information is used for statistical analysis, and is shared with The Scout Association for research and analysis purposes. This infomation is also used to help us consider dietary preferences.

 What does 2nd Frampton Cotterell Scout Group do with my data and  where is it kept?
As explained above the data we hold is used for the management of the group and for communication purposes.
The journey of your data from input to storage is as secure as we can make it.
Online Scout Manager is SSL secured as well as password protected and kept up to date with the latest security and update patches.
Sharing & Printing
Your data will only ever be shared with group members who are organising an event, and event management members  for example, Contact and in touch details will be placed into a spreadsheet and passed on to the member running the event, once the event is finished this copy of the data will be destroyed. This information may be printed for use at the event.
The only data shared in this instance will be

Name, DOB, Telephone Number, InTouch Name & Contact Number

Young person and adult volunteer information is presented to The Scout Association periodically for research purposes and statistical analysis. This may include:

Religion, Ethnicity

Who has access to my data?
In case you have just skipped to this section the simple answer is only the Groups Section Leaders( the ones who run each week) the Group Scout Leader and Assistant Group Scout leader  and executive will have all of the data you submit.
Basic details for InTouch will be shared as needed as stated in the above section.

As outlined above, some data is shared with The Scout Association for research purposes/statistical analysis.
Data security is something 2nd Frampton Cotterell Scout Group take very seriously and hope that you are happy with everything contained within this privacy notice.
If you want to see  the data stored about you please ask, also if you want any data you have submitted to be amended or deleted then that’s no problem either.

We will normally delete membership data within three months of an individual leaving us.  We required, however, to retain some data to comply with accounting requirements or requirements of HM Revenue and Customs with regard to GiftAid.

We will invite members / parents/carers to annual check and update the key data that we hold.
